Bank of America Secure Destruction Bin Ordering SOP

§ Temporary Bin Requests

o   Definition: Any request for bins that are needed for 60 days or less.

o   Process:

§ Bank associate contacts Recall’s Bank Procurement Line: 888-550-6433, Option 4.

§ Bank associate will talk to a live CARE representative. While on the call, two work requests (WRs) will be created:

·        WR #1: Addition of Temporary Bins (The date of bin placement will be provided to the associate, based upon Recall’s next service date for that location.  If bins are needed sooner than Recall’s next service date, Bank will incur a $75 Unscheduled Service charge for early delivery.)

·        WR #2: Removal of Temporary Bins (The date of removal is determined by the Bank Tenant.)

·        If a temporary bin requires service prior to the date indicated on WR#2, the associate must request an additional service via the Bank Procurement Line.

§ Permanent Bin Requests

o   Definition: Any request for bins that are needed for more than 60 days.

o   Process:

§ Bank associate contacts Recall’s Bank Procurement Line: 888-550-6433, Option 4.

§ Bank associate will talk to a live CARE representative. The CARE representative will create a WR for bin placement, but the WR will be placed into an ON HOLD queue for approval. The associate will be advised that the request is on hold for approval and that they will be contacted if the WR is changed or not approved.

§ Gatekeeper Process: Permanent Bin Requests are approved by the Bank Account Manager, Dee Stoddard (864-675-6646, ext. 286). Her turnaround time for WR approval is targeted at 1-day. In Dee’s absence WR’s will be approved by Jackie Donboch (ext. 279) or Claire Overton (ext. 314).

§ Approval Process: Recall account managers may change or disapprove requests for additional bins or increased frequency of service, but if this occurs, Recall will contact the associate advising them of the change. Recall account managers use three different criteria when approving, changing, or disapproving WRs:

·        Service Frequency

·        Number of Bins On Site

·        History of Bin Usage (200 lb. Rule)

§ If bins are needed sooner than Recall’s next service date, Bank will incur a $75 Unscheduled Service charge for early delivery.

§ Dee Stoddard provides a report to Bank senior management of all new bin additions on a monthly basis.
